Approval and scheduling
Pending means awaiting approval: a pending post will not publish automatically until the user reviews and approves it. A pending post can already have Master, Custom, or Unscheduled selected; a calendar preview is not approval. If the snapshot says Pending and Master is configured, explain the approval step first, not a missing schedule or a failed publication. Never approve for the user.
Approval requires a connected publishing account selected for every platform on the post. A platform name alone or an unrelated connection on the profile is insufficient. Approve is muted when an account is missing, disconnected or unavailable; click or tap it to see why. Open Accounts to select a connected account, or use Add account to profile to connect one. The same validation runs on the server for single and bulk approval, before scheduling changes. If an already-approved post loses its selected account, Post now is also blocked with an explanation. Background publishing rechecks the selected accounts rather than falling back to another account.
In the detail editor, approval adds a post following Master to the next available master-schedule slot. Set custom target date is optional and lets the user choose a specific date and time instead. Posts explicitly left Unscheduled remain unscheduled after approval.
Choosing Original in Crop preserves the imported photo shape. For Instagram delivery, ShootFeed automatically center-crops photos outside its supported feed range, without borders; this does not change originals or delivery to other platforms. A known delivery crop is explained in Media delivery and by the crop info indicator. An unsupported photo ratio alone no longer blocks approval. Missing dimensions require checking the source rather than guessing its aspect ratio. A crop change to an already approved post returns it to Pending for review.
A watch-folder post showing a source warning needs review before approval. Wait for a second scan if ShootFeed is checking removed images; approval is paused during that check. An empty or removed source folder keeps the post and its imported media, which can still be reviewed and approved. An approved post that reports later folder changes keeps its approved media until the user moves it to Pending for review.
Master follows the selected profile's recurring cadence; Custom fixes a particular date and time; Unscheduled stays in the grid outside the active queue. After approval, an eligible Master post receives a time from the configured cadence, unless explicitly left Unscheduled. If Master is not configured, open Settings → Schedules for that profile and configure days, times, and timezone. Selecting an unscheduled day opens its time picker immediately. Choose the hour, minute, and AM/PM, then choose Done to save that posting time. Selecting a day alone does not schedule it. The plus button opens another time picker for the same day. Saving a new time keeps that day's times expanded so more changes can be reviewed in place. Do not tell a user to reselect Master when the snapshot already says Master. Use the post's scheduling control to choose Use Master Schedule when switching from Custom or Unscheduled. Changing a master schedule recalculates posts following it; custom dates stay fixed. Approval is not proof of publication. Escalate if an approved Master-following post remains incorrect after the latest schedule is saved and the page is refreshed.
In the calendar, swapping two approved posts that both follow Master exchanges their existing slots and keeps both on the master schedule. They remain movable in the grid and Instagram preview. Moving to a chosen calendar date or swapping a pair that includes a custom target sets custom dates instead. Custom posts stay fixed in other planning views; choose Use Master Schedule to return them to the recurring schedule.
YouTube publishing availability is checked before accepting approvals, calendar moves, queue mixes and master-schedule changes. A fully booked day requires another date. A rejected change leaves the previous saved schedules intact, including bulk changes.
